Colibri vaccination center management software.

Colibri is a SaaS-based software designed to manage the operations of a vaccination center, a health center, or an occupational health service. This software can be used on any type of device (laptop, desktop, tablet, or smartphone) and any browser.

Colibri has undergone recent developments, making it the most advanced software for managing vaccination. It has recently become the most widely used vaccination center management software, equipping around 200 vaccination centers. The Colibri software has been chosen by 12 regions to manage, along with other tools developed by SYADEM (such as the online parental authorization form and vaccination tracking dashboard), the vaccination campaign against papillomaviruses and other vaccine-preventable diseases in middle schools (Box 1).

Box 1: List of the 12 Regional Health Agencies (ARS) using the digital platform to track the vaccination campaign in middle schools (January 2025).

• ARS Auvergne-Rhône-Alpes • ARS Bourgogne-Franche-Comté • ARS Bretagne • ARS Grand-Est • ARS Guadeloupe • ARS Hauts-de-France • ARS Ile-de-France • ARS La Réunion • ARS Nouvelle-Aquitaine • ARS Occitanie • ARS Pays de la Loire • ARS Provence-Alpes-Côte d’Azur

The modular architecture of the Colibri software (Box 2) allows it to adapt to a wide variety of needs in vaccination centers or other institutions involved in managing vaccinations (health centers, healthcare or social establishments, occupational health services).

Box 2: Modules of the Colibri software.

Regular user: • Consultations • Patients

Advanced user: • Statistics • Import / Export • Event log • Calendar • Inventory management • INSi • Clinical studies • Mentor Pro • Configuration

In addition to the standard features expected in vaccination center management software (consultation and patient record management, inventory management, scheduling, billing), Colibri offers advanced features made possible by the integration of:

A structured vaccine nomenclature, NUVA (Nomenclature Unifiée des Vaccins) A vaccine decision support system (SADV) A digital vaccination record (CVN) Colibri is more than just professional software: it also serves as an effective communication platform between the patient, healthcare professionals (such as doctors, pharmacists, nurses, midwives), and healthcare institutions involved in the patient care pathway.

The architecture of Colibri was completely redesigned in 2023. Data is recorded at a high level of structuring, improving the precision and reliability of activity statistics produced by the software. These statistics are fully auditable by the user, who can link the generated figures to the corresponding patient records.

Colibri is synchronized with the digital vaccination record of MesVaccins.net, allowing bilateral data exchange with patients, healthcare professionals in private practice, and other institutions.

Summary of Colibri software features:

  • Patient record and consultation management.
  • Waiting room management.
  • Secure and optimized recording of vaccination history, reducing the risk of entry errors.
    • Ability to record vaccines received abroad, previously marketed vaccines, or generic vaccines, using the Unified Vaccine Nomenclature (NUVA) developed by SYADEM.
    • NUVA allows recording of vaccines currently or previously available in France or abroad, ensuring accurate vaccine histories for migrants.
    • The software prioritizes displaying vaccines available at the time of vaccination and recognizes alternative spellings (e.g., Infanrix5 for Infanrixquinta).
  • Automated reading of the DataMatrix code, allowing quick and reliable entry of vaccine details (name, batch number, expiration date, and serial number) via a barcode scanner or a mobile device camera.
  • Structured recording of the patient’s health profile, including all characteristics that could influence vaccination recommendations or important vaccine-related health information.
  • Issuance of a digital vaccination certificate shared with the patient (vaccination history or vaccination status with upcoming vaccination dates).
  • Sharing a digital vaccination record with the patient or other healthcare professionals involved in the vaccination process, allowing them to view vaccination acts performed by other professionals and communicate via patient notes.
  • ARS reports and real-time statistics, including generating a file for reimbursement of administered vaccines by health insurance (for both standard vaccinations and HPV vaccination campaigns in middle schools).
  • Advanced statistics:
    • Predefined queries or natural language searches using a Large Language Model (LLM).
    • Example: “What is the pneumococcal vaccine coverage for at-risk individuals or those aged 65 and older?”
    • Example: “List of children requiring measles vaccination (0, 1, or 2 doses, with the first dose administered before 12 months).”
  • Import / Export: Ability to import or export patient data. = Mobile vaccination team management, especially for school-based HPV vaccination campaigns.
  • Biological exam and document management:
    • Issuing vaccination authorizations
    • Capturing copies of health record vaccination pages or vaccination certificates
  • Inventory management, including multi-dose vials.
  • Scheduling and intervention module, allowing vaccination planning outside the vaccination center, with configurable email or SMS reminders before the intervention date.
  • Mentor Pro tool, providing vaccine decision support without recording data, applicable to complex cases, travel, or specific medical missions.
  • Clinical studies: Integration of patient or professional questionnaires.
  • Dashboard population data tracking, containing anonymized data from a group of users.
